Join Our Team  Children’s Center Office Assistant (Lompoc)

LEAP: Learn. Engage. Advocate. Partner is seeking an Office Assistant to join our Children’s Center team in Lompoc.

As a LEAP representative and the first contact for clients, the office assistant must be; warm, welcoming, detail oriented and efficient. Reporting to the Children’s Center Program Director and Assistant Director the office assistant is responsible for;

  • Assisting in daily operations of the Children’s Center office.
  • Perform a variety of clerical duties in support of office.
  • Welcoming families and/or visitors of the center. Take and relay messages. Open, sort and distribute mail, orders and packages.
  • Cultivating positive and professional relationships with; families, teachers, state licensing authorities, community contacts and collaborative partners.
  • Maintain, organize and well equip work environment.
  • Managing daily attendance, including data entry, record keeping and reports.

Specific duties and responsibilities include:

  • Assist in daily operations to facilitate a well-organized administrative environment.
  • Assist with enrollment procedures;
    • Create/maintain student files.
    • Certify eligible children onto CA Dept of Education grant.
    • Maintain a wait list for children.
    • Provide an orientation to new families upon enrollment.
  • Maintain an effective data/filing system; including server, CareConnect and student files.
  • Provide excellent customer service to clients; answer phones, parent questions and concerns.
  • Record daily attendance and make follow-up calls to parents daily for absences or as needed.
  • Attendance Reports. (801A, Interest Log, Resource & Referral Invoices).
  • Refer parents to the Family Resource Center coordinator for resource and support services.
  • Work collaboratively and collectively with other departments or agencies when needed.
  • Communicate program information, policies and procedures to parents, staff and community.
  • Handle program criticism and emergencies in a professional manner.
  • Report any emergencies or matters that need attention to the Program Director.
  • Maintain professional relationships with GUSD, SBUSD, UCSB, County Office of Education and Community in regards to enrollment, referral, etc.
  • Assist teaching staff with a variety of activities, including typing, duplicating, laminating materials, scheduling parent conferences and other activities as assigned.
  • Operate a computer, student data software systems, center iPad; operate copier, walkie talkie (radio), calculator and other office equipment as assigned.
  • Support Facilities Coordinator with duties as needed.
  • Perform other duties as assigned by the Program Director and Assistant Director.

Required skills and experience:

  • Must be bilingual (Spanish & English) to support families and staff.

  • Outstanding customer service skills, strong organizational skills, and the ability to multi-task and manage multiple situations effectively.

  • Highly organized, detail oriented, thorough. Meet schedules and timelines.
  • Correct English usage, grammar, spelling, punctuation and vocabulary. Understand and follow oral and written directions.
  • Must be physically able to use a computer with basic proficiency, lift a minimum of 40 pounds, and work indoors or outdoors.  Must be able to assume postures in low levels to allow physical and visual contact with children, see and hear well enough to keep children safe, and engage in physical activity with children.
  • Work independently with little supervision.
  • Any combination equivalent to: graduation from high school, two (2) years of responsible clerical or secretarial experience including one year of computer work.
  • Must be physically able to use a computer with basic proficiency, lift up to 40 pounds, and work indoors or outdoors. Must be able to assume postures in low levels to allow physical and visual contact with children, see and hear well enough to keep children safe, and engage in physical activity with children.
